Job Description

TITLE: Attendance/Sub Finder Clerk
REPORTS TO: Superintendent
SUPERVISES (if applicaable): N/A
JOB DEFINITION OR GOAL: To verify all unreported absences of students within the district, monitor automated substitute system and attempt to fill any un-filled positions. 

ESSENTIAL DUTIES AND RESPONSIBILIIES:

  1. Communicates with building secretaries regarding attendance information.

  2. Verifies that all teachers have submitted attendance.

  3. Phones parents/guardians of students to verify absences.

  4. Makes log entries for actions taken to verify absences.

  5. Prints a daily absence report for each building.

  6. Prepares student attendance count for kitchen supervisor.

  7. Prepares individual student absence reports for teachers.

  8. Maintains and updates all substitute and employee information in the computerized system.

  9. Prepares and distributes user manual/information packets for the Sub Finder system.

  10. Assists substitutes and employees with use of the Sub Finder system.

  11. Reviews daily absence report on Sub Finder showing all employee absences.

  12. Calls substitutes to fill positions still un-filled by automated system.

  13. Reviews jobs entered into Sub Finder and corrects errors.

  14. Coordinates substitute list for each building.

  15. Assigns schedules for roving substitutes during staff training.

  16. Assigns and maintains list of employee ID numbers.

DESIRED MINIMUM QUALIFICATIONS:

  1. High school diploma
  2. General office skills including computer knowledge, keyboarding and telephone systems.
  3. Able to communicate well with personnel and public.
