Job Description

TITLE:

Accounts Payable/Assistant Clerk

REPORTS TO: Superintendent and Business Manager
SUPERVISES (if applicaable): N/A
JOB DEFINITION OR GOAL: To maintain an accurate accounting of all accounts
payable and to assist and relieve the business manager
of paperwork as pertaining to the regular duties of that
position. There is great emphasis on confidentiality in
the business office.

ESSENTIAL DUTIES AND RESPONSIBILIIES:

  1. Responsible for computer input of all purchase orders, designates purchase order numbers and observes proper account coding.

  2. Acts as shipping and receiving clerk for all buildings and checks off packing slip against the purchase order.

  3. Processes invoices where purchase orders were issued using the appropriate form that includes account coding.

  4. Responsible for input of inventory for the superintendent’s office, cafeteria, maintenance department and each building.

  5. Assists with preparation of monthly reports as to expenditures and receipts.

  6. Assists with the monthly reconciliation of the county treasurer’s report.

  7. Assists with annual district audit.

  8. Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.

DESIRED MINIMUM QUALIFICATIONS:

  1. High school diploma.
  2. Two years of post-secondary and five years of progressively responsible secretarial/ bookkeeping work, with computer skills desirable.
  3. Such alternative to the above qualifications as the board may find appropriate and acceptable.
